Downloading Contribution and Expenditure Data

You can access the Data Download page to download contribution and expenditure data for import into other applications such as Microsoft Excel or Access. A weekly batch process is run that captures the year-to-date information for the current year. The data is available for each calendar year. The file is downloaded in CSV Comma-Separated Values. A format in which data in a file is separated by a comma. This format is used for importing and exporting data. format.

 

File Layouts

 

Below are the file layouts for the various extracts. Each file contains a header row and each column in the file is labeled with the field name. The files are sorted by Committee name.

File Number

The internal contribution ID issued by the Secretary of State's office. This ID can be used by elections staff to quickly reference a particular transaction.

Committee Type

The type of Committee.

Committee

The name of the recipient Committee.

D

Candidate Name

The name of the recipient Candidate if this is a Candidate Committee and a Candidate record is linked to the Committee.

Contributor Type

The type of Contributor.

Name

The Contributor's full name, including first name, middle initial, last name, and suffix.

Address

The Contributor's street address.

H

City

The Contributor's city.

I

State

The Contributor's state.

J

ZIP

The Contributor's ZIP code.

K

Occupation

The Contributor's occupation if provided.

L

Type

The type of contribution.

M

Description

A description of the contribution.

Amount

The contribution dollar amount.

O

Contribution Date

The date the contribution was received.

Received by

The person who received the contribution.

Q

Amended

Y/N indicator to show if an amendment was filed for this record.

The date the expenditure was incurred.

Indicates if an amendment was filed for this record.

Click the download datalink under the Resources heading in the left navigation menu.

To download data:

 

Note: Required fields are indicated by an asterisk * to the right of the label and must be completed.

 

  1. Click the download file link for the file you want to download.

 

The File Download dialog box is displayed.

 

  1. Click the save button.

 

The Save As dialog box is displayed.

 

  1. Navigate to the folder where you want to save the file.

 

  1. Click the save button. Tip icon To view the file in your browser window, click the open button.Note icon If you choose to view the file, the file may be slow to open depending on the speed of your network connection and the number of records in the export file.

    Excel allows a maximum of 65, 536 rows. If the export file contains more records than Excel can accommodate, a message is displayed stating the file did not load completely. To view the entire file, you must choose to save rather than open the file and then open it in another application such as Microsoft Access.

 

The file is saved to the location you specified.
